Features
The Microsoft Authenticator mobile app provides a secure way to sign in to your accounts. It offers features such as two-factor authentication, biometric sign-in, and multi-factor authentication. With the app, you can easily approve sign-in requests, receive notifications for account activity, and manage your account security settings.
Additionally, the app supports a wide range of accounts, including personal Microsoft accounts, work and school accounts, and third-party accounts that support the use of the app for authentication.
How to Use
To use the Microsoft Authenticator mobile app, you can simply download it from the app store, install it on your device, and set it up for each of your accounts. Once set up, you can use the app to verify your identity when signing in to your accounts by following the on-screen prompts and using the approved sign-in methods.
Furthermore, the app allows you to easily manage your account security settings, view your account activity, and receive notifications for any suspicious activity.
Pros & Cons
Pros of the Microsoft Authenticator mobile app include its ease of use, support for a wide range of accounts, and its ability to provide an extra layer of security for your accounts. The app also offers biometric sign-in options, making it convenient for users.
On the other hand, some potential cons of the app may include the need to have the app installed on your device for authentication, and the reliance on a mobile device for sign-in verification.

As an IT professional running many different systems in our customers Microsoft ecosystems, having good security is an absolute must these days. MFA is one of the most straightforward and easiest ways of securing a users account. The Microsoft Authenticator works very well for this use. I have had close to almost 0 issues with the app itself and it just works. Easy to install and setup and very reliable.
Excellent Authorization App. I've never ran into any functionality issues with it. Clean and straight forward. User friendly and as simple and efficient as you can make it. Sad to see the password vault feature going away. Given the plethora of alternative options out on the open market and the partial duplication with other Microsoft products such as Edge, I can see why they are doing away with that feature.
Fantastic app. Slightly easier to use than Google authenticator. GA generates a six-digit code that must be entered into your device. Whereas MSA sends three different two-digit numbers and you simply select the correct one. Also, this app requires device security to open it, meaning password, fingerprint etc. GA doesn't require anything of the sort. Don't know if either method is better than the other but MSA is for sure more convenient.
I don't have a lot of love for Microsoft products, but I can't complain when an app does exactly what it advertises without pushing anything on it's user base. I've never seen an ad in MS authenticator, not even for other Microsoft apps. I've never been pushed to create an account, sign up for premium access, or do anything other than what this app does. I love that I can add any number of personal, non-Microsoft accounts. I also love that business and personal accounts use the same app.
Microsoft Authenticator is our suggestion for all of our MSP clients when we need to suggest a MFA application to use. The only recommendation I have would be to include the ability to create groups of accounts that could be toggled to display or not; for example I rarely have to see my personal accounts for Facebook or eBay, so being able to group them as “Personal” and not have to scroll past them to find others, but expand on them as needed, would be a huge selling point. And, yes, I understand being able to organize them, but with well over 100 accounts in the app, I’m seemingly scrolling for for just about all of them except for the primary/top 5.
Updated: after doing a little more research and trying different things I realized that passwordless logins only happen on my devices. I logged in 5 different devices that were mine and I didn’t have to put a password only a pop up of approval on my other devices which scared me cause it’s one step verification. but I guess it’s cause it recognized my device. But if you grab another device that’s not yours it will ask for a password. I think this is the way it works. Not 100% sure. I think this is a great idea to make it more seamlessly for the user. But it would be pretty great if we can choose to either have that option on or off. Changing my rating to 5 stars. Great work guys.
This authentication app provides multitudes of features that allow users to authenticate in many different ways and allows for more than just two steps in verifying your identity—providing for an even more secure experience, if that’s what you’re looking for. I previously used Google Authenticator for most of my accounts and ended up losing a couple accounts over that. This app pulled the rug from under Google’s alternative and forced them to update their app after two years to make it actually usable for their consumers. Even after the updates, this app reigns supreme with the great abundance of security features it provides to users. Although the smoothness in transitions and smooth feel of the app overall be better, the UI is modern and I applaud Microsoft for that. I’d also like to applaud them for pushing the application heavily on their website. Even more people deserve to know about it and I believe it should be also pushed in advertisements. All in all, this is as close to perfection any authentication app has ever gotten and by far.
I love this app! It completely simplifies the forgotten password problem. Soooo much easier than having to request new passwords everytime you can't remember it. People say you shouldn't do that but, let's face it, our passwords are not safe on our computers. Anything can be hacked, and using the same ones over again is just as careless. This way I don't even have to type it in. You don't even have to create passwords or pins, the app does it, and the passwords are much stronger than mine. A+
Keeps asking to save emails, passwords and accounts I already saved. I can't remember which ones I've saved and what address so I have double, triple and quadruple things saved. But with that said I at least feel safe and secure using this app. Def keeps all my saved accounts. I like that I don't need to use my password signing in on other computers besides mine. It asks for a number code and if it matches you get access into account. Awesome!
Overall, I love the app. It does its job and I can't argue with its functionality. However, I give it a four star because I do have a few concerns and complaints I'd like to see implemented. Its the simple aesthetics of the design of the authenticator. I would love to see folder/group settings implemented where you can group codes together under a drop down menu, instead of just having a whole spew of a list of random codes you have to scroll through. Something similar to the functionality of 2FAS Auth. Another thing I'd love to see would be Icons used instead of a boring, plain grey, busthead (maybe use the MS MFA logo?) When a logo isn't supported. Which I would like to also see more support on is icon support from various different services. I find only few companies like FB, Gitbub, and a few others are on the app. Again, I think my biggest complaint is to make it look more sexy of a design and UX. It's kind of boring at the moment. But overall, great app!
I'll give this a four star rating only because it seems like it has potential, but there is an issue that keeps happening on my end. My university recently started using this and sometimes when I'm trying to confirm my login, the yes option won't work and it's just frozen there and I have to use a different method to log in. Seems like a bug with the app.
I like the app for the most part. It is very handy when it comes to logging in to Microsoft and all. The app occasionally will not give me the notifications, and I have encountered an error saying a page has blocked the app from viewing it due to not accepting unsecured clear text traffic, which is kinda sketchy. All in all though, Not the best authenticator app but blows Google Authenticator out of the water.
I like the idea, but the app seems buggy. Half the time when it sends me the notification and I press the number and approve it, it then says the "password" is incorrect. Not really sure what that means as I'm not even using a password! I have this app on my iPad as well and it has the same issue. Shame because I like the idea of being completely passwordless and want this to work!
Great app... it does what it needs to do. However I had a bug where it wiped my backup, overwritten it with a new slate, and my current backup was gone forever. But thank the heavens, I still had my old phone available, so I didn't lose all of my data, but this groundbreaking issue is severe and you may want to consider another authenticator app
The app itself is fine and does exactly what it needs to do. The problem is Microsoft. They seem to be intent on taking the most basic apps that we all need and use them as an ad vector to try to sell you on more of their services. This app sends a notification when I need to authenticate a login.Do I can't turn off notifications. But recently it's been also sending notifications for auto fill services. These are ads and have nothing to do with the primary reason for the app. Stop doing this!
Often the needed screen does not come up. So a secondary or alternative apporoval method is needed. Often the time given to enter or approve a number is too short and it times out a few seconds before. I am not even sure why this app is even needed. It may simple be a gimmic for selling another app and service. It is difficult to Remove previous associations. I am not a fan. Also, anything Microsoft I simply expect to be buggy and not really work. As is the case with this app.
I’ve been using this successfully for several months after my company required it. A few weeks ago, on a Saturday, I received an authentification alert on my phone. I wasn’t working and wasn’t trying to log in so I thought, “oh no! Is someone trying to hack my account!? I’m glad I have this handy app that will let me deny the request and block them! Ha take that hacker!” The next time I tried to check email in Outlook, Authenticator immediately said that I denied the request, even though it never gave me the option. I’ve tried uninstalling and reinstalling this app and Outlook, called my company help desk, tried the Microsoft Support option, so far, no one has been able to fix it. So, from my experience, if you block unauthorized access to your account, which is the sole purpose of this app, your account will be permalocked and will be very difficult or (so far for me) impossible to unlock. I can still access my work account through my laptop, I’m just locked out of the Authenticator app and thus Outlook, on my phone.
Not really sure what the point of this app is except to make it more difficult to access your account. Constantly ask for a code then when I type it in, it says incorrect. Why do we even have to download a separate app to access our account??? I am trying to pay my past due subscription, but can't even log in. What happened to the simple days of just signing in and calling it day?🙄
Doesn't work at all. Computer gives me a code I need to enter into the app, and when I open the app I get the same notification with a different code telling me I need to open the app to enter a code. I didn't have any trouble before this was required, and now I can't log into my work email at all. Thanks Microsoft, your email accounts are so secure that not even your users can use them. 10/10
I had to get a new phone, and during the transfer,I still have to enter passwords. well, a lot were tied to the Authenticator. but I can't add them because it then sends a code to the authenticator, which doesn't have that account, so I can't verify it. Then when I contact Microsoft and try to reset everything, and fill out the verification form accurately, because I printed out my answers, they say that there wasn't enough information that matched. so now, I'm locked out of ALL of my accounts
Absolute Trash. The most convoluted setup process. Randomised numbers are not a default. Notifications are inconsistent. Often appearing after the initial prompt has expired. So if you work in an Azure environment, you're almost guaranteed to lose 25 minutes of your day to this “authtenticator“ Never thought I'd be nostalgic for the Entrust/RSA days, but here we are.
Who approved this? When I go to sign into an account that I do not yet have access to it asks to put in a code, into itself, which isn't possible since its already open and going back ends the login attempt. What genius thought this up. Just stuck in a loop and can not login to anything. Great job Microsoft really proving how little you care these days.
Worst Customer Service Ever. I had to factory reset my phone. As a result I am locked out of my accounts. Microsoft won't send me a text, will only send a code to my email. Only 2 attempts a day but when the phone# doesn't work that leaves me with no options. Can't speak to a live agent. Can't get any access whatsoever. Also locked out of business account because of this. The recovery options are awful with no help what so ever. Microsoft....worst service EVER
This is the most aggravated I can remember being in a long time. I've been trying to get my work email on outlook for the last 3 hours, and have been in a nonstop loop of outlook giving me a code to enter into authenticator, and then opening authenticator and having no prompt for the code. I've tried Uninstalling, updating, restarting my phone, using my desktop... none of it works properly, and my work is going ro be halted for the entire weekend as a result.
Creating a product that requires you to use the app to verify the account your are currently trying to activate is incredibly stupid. I have spent six hours trying to connect an account to complete required training that I cannot gain access to. What an epic fail by Microsoft, if I could give negative stars for quality and customer service I would.
There is literally no support for this app or Microsoft. My phone literally blew up, had to get a new phone and there is no support whatsoever to access my email account, not even the password that I had set for the account. There is no one to email, no one to call. I've had the same email address for like 20 years. While this app may be convenient for sign-in, it's just not worth the headache. They don't verify anything else other than the MFA.
Forced to use for work, when trying to log into Outlook. Only started trying to push it on us last week yet it will be defunct August 1st? What's the point in that? Also, seems a security issue to REQUIRE us to use a specific app for WORK authentication! There's an outrageous number of people saying they got completely locked out of all their accounts permanently. who knows how it has such high stars considering how many one star reviews if you check them. More I could say but space ran out!
Using the app, I saved passwords and used the one-time sign-in code for my Microsoft products or accounts. I recently discovered that I no longer have access to all my passwords, saved payment methods, & auto login feature for my accounts on my phone. In recent updates discussed in the past months, they removed this feature. I didn't have much warning that I would lose access to all my saved passwords. I love the convenience of this app, & I always brag about how great it is to family & friends.
This app works great unless you need to restore from a backup and attach a new phone. When you restore from a good backup, it forces you to verify every single account again. what is the point of a backup recovery, if I have to set it all up again. I am an IT administrator and have lots of accounts attached to this app. This has happened multiple times, so shame on me for continuing to use this app. Donezo!
I only use this for my main Microsoft account and anything that forces me to use it. Sync absolutely does NOT back up all accounts. I had to manually transfer all additional accounts when I switched devices this week, despite them supposedly being synced for months beforehand. I've had to do that before, and it caused a HUGE issue the first time. It happened on multiple devices over many years, so don't go trying to blame my devices or versions of Android. I can't trust MS products any more.
